Most onboarding dashboards either show too few metrics (just “activation rate” and nothing else) or too many (40 charts that no one reads). The right number is roughly 7 — enough to tell you where things are going wrong without drowning the product team in noise.

Here are the seven metrics every SaaS onboarding dashboard should have, what each one tells you individually, and how they connect into a diagnostic view of the full onboarding funnel.

1. Signup rate

What it measures: Signups divided by unique visitors to the signup page. Measures how effectively your top-of-funnel page converts interested visitors to accounts.

Why it matters: If signup rate is dropping, nothing downstream matters — you’re starving the rest of the funnel. Signup rate changes usually reflect either traffic quality changes (new ad channels?) or signup-page friction (added fields? slower load?).

Typical range: 15–40% for SaaS signup pages with clear product positioning; 5–15% for pages mixing audiences.

2. Activation rate

What it measures: Percentage of signups who complete your defined activation milestone within a fixed window (usually 7 or 30 days).

Why it matters: The single highest-leverage metric. Users who don’t activate almost never retain. A 5-point activation lift moves retention and revenue proportionally — more than any downstream tweak.

Typical range: Varies heavily by vertical. B2B SaaS 25–45%, B2C apps 15–30%, marketplaces 10–25%, fintech 25–45%. See benchmarks by vertical.

3. Time to activation

What it measures: Median time from signup to completing the activation milestone. The counterpart metric to activation rate.

Why it matters: Two products with the same 30% activation rate can have very different trajectories — one activates users in minutes, the other in days. Faster activation compounds: users who activate fast are more likely to retain, engage, and refer. Slow activation is usually caused by friction between signup and first value (too many setup steps, empty initial state, unclear next action).

Typical range: Best-in-class B2C apps activate in under 5 minutes; B2B tools usually activate within the first session (5–30 minutes). If your time to activation measures in days or weeks, examine your onboarding flow for unnecessary steps.

4. Drop-off rate by funnel step

What it measures: For each step in your signup-to-activation funnel, the percentage of users who reach that step but don’t reach the next. Surfaces where users are abandoning specifically.

Why it matters: Aggregate activation rate tells you something is broken; step-level drop-off tells you where. The single step with the highest drop-off is almost always where fixes will produce the largest lift. What to look for: Any single step with drop-off > 40% deserves investigation. Multiple steps with 20–40% drop-off suggest the whole flow is too long.

5. Day-7 and day-30 retention

What it measures: The percentage of users in a signup cohort who returned to the product during days 1–7 (short-term retention) and days 1–30 (medium-term retention).

Why it matters: Retention validates that activation is real. A product with 40% activation rate but 10% day-7 retention has a fake activation metric — users are “activating” but not returning, which means the milestone doesn’t predict actual value experienced. Strong activation should produce strong retention; if it doesn’t, redefine activation.

Typical range: B2B SaaS 40–60% day-7, 25–40% day-30. B2C apps 20–35% day-7, 10–20% day-30. Content apps 15–30% day-7, 5–15% day-30.

6. Feature adoption rate (for your top 3–5 features)

What it measures: For each core feature, the percentage of activated users who have tried it at least once. Not aggregate adoption — per-feature adoption for the features that matter.

Why it matters: Activation gets users past the first step; feature adoption determines whether they’re getting full product value. A user who activates but never tries your second-most-important feature is leaving 50% of the value on the table — and is at higher retention risk than a user who has adopted multiple features.

What to track: Your single most-used feature (expected 80%+ adoption), your second-most-used (expected 50%+), your third (expected 30%+). Significant gaps from expected rates indicate discovery problems — usually fixable with in-app guidance or feature announcements.

7. Onboarding flow completion rate

What it measures: If you deploy onboarding flows (tooltips, tours, checklists), the percentage of users who saw each flow and completed it vs. dismissed vs. ignored.

Why it matters: Flows that aren’t completing aren’t helping. Tooltips should hit 60%+ completion; tours 30–50%; checklists 20–40%. Low rates usually mean the flow is either appearing at the wrong moment (annoying, dismissed), targeting the wrong segment (irrelevant), or poorly designed (confusing).

What to track: Completion rate per flow, dismissal rate per flow, and — crucially — activation rate of users who saw each flow vs. a control group. A flow with 80% completion that doesn’t lift activation isn’t actually helping; it’s just a popup users politely click through.

Read the dashboard top-to-bottom: signup rate shows top-of-funnel health, activation rate + time-to-activation show onboarding effectiveness, drop-off rates show where to focus, retention validates that activation is real, feature adoption shows depth of value, flow completion shows whether your interventions are working.

A healthy onboarding dashboard shows strong numbers in all 7. A weak dashboard usually has a specific bottleneck: strong signup but weak activation (onboarding flow problem), strong activation but weak retention (activation milestone is wrong), or strong retention but weak feature adoption (users get stuck on the basics).
